Getting Started

Welcome to Ango Tasks! This guide will help you get up and running in minutes. Let's start by setting up your account and understanding the basics.

Download & Install

Download Ango Tasks from the App Store on your iPhone, or visit app.angotasks.com for the web app.

Sign In

On iOS, sign in with Apple or Google. On the web app, sign in with email and password. This enables cloud sync so your tasks are available across all your devices.

Allow Notifications (iOS)

On iOS, grant notification permissions to receive reminders for your tasks. You'll get notified 15 minutes before and at the due time.

Explore the Interface

The main screen shows your task lists in the sidebar (swipe right to reveal). Tap any list to view its tasks. The floating button at the bottom lets you add new tasks quickly.

Pro Tip: Your first list is automatically created for you. Start by adding a few tasks to get familiar with the interface!

Creating Tasks

Adding tasks in Ango Tasks is incredibly fast and intuitive. You can create tasks with just a title, or include dates, times, and priorities.

Quick Add

Tap the "Add task..." pill at the bottom of the screen. Type your task title and press return. That's it - your task is created!

Adding Details

Tap on any task to open the detail view. Here you can:

  • Edit the task title
  • Set or change the due date and time
  • Add notes for additional context
  • Toggle priority (star) status
  • Move the task to a different list

Completing Tasks

Tap the circle next to any task to mark it complete. Completed tasks show a checkmark and strikethrough text. They stay in your list for reference but move to the bottom.

Deleting Tasks

Swipe left on any task to reveal the delete button. Tap it to remove the task permanently. You can also delete from the task detail view.

Reordering Tasks

Long press on a task and drag it to reorder within your list. This lets you prioritize tasks in the order you want to complete them.

Pro Tip: Use #hashtags in your task titles for easy categorization. Tap any hashtag to filter tasks with that tag!

Natural Language Input

This is Ango Tasks' superpower! Type tasks the way you think about them, and the app automatically extracts dates, times, and priorities.

Relative Dates

Use words like "today", "tomorrow", or "tmrw" to set due dates:

"Buy groceries today" → Due: Today
"Call mom tomorrow" → Due: Tomorrow
"Day after tomorrow dentist" → Due: Day after tomorrow

Day of Week

Specify any day of the week:

"Meeting monday" → Due: This Monday
"Submit report on friday" → Due: This Friday
"Next wednesday presentation" → Due: Next Wednesday

Specific Times

Add times using natural formats:

"Meeting at 3pm" → Due: Today, 3:00 PM
"Call client tomorrow at 10:30am" → Due: Tomorrow, 10:30 AM
"Dinner friday at 7pm" → Due: Friday, 7:00 PM

Relative Time

Set tasks for a duration from now:

"Take medicine in 2 hours" → Due: 2 hours from now
"Follow up in 3 days" → Due: 3 days from now
"Review in 2 weeks" → Due: 2 weeks from now

Priority Markers

Mark tasks as priority using these indicators:

"Finish report !" → Marked as priority ⭐
"Email boss urgent" → Marked as priority ⭐
"Important meeting prep" → Marked as priority ⭐
"Submit proposal priority" → Marked as priority ⭐

Combined Examples

Mix and match for powerful task creation:

"Submit quarterly report by friday at 5pm !"
→ Title: "Submit quarterly report", Due: Friday 5:00 PM, Priority: Yes

AI Extract

Ango Tasks features powerful AI-powered extraction that can turn text, images, and voice into organized tasks. Let AI do the heavy lifting of parsing your notes, screenshots, and spoken ideas.

Accessing AI Extract

On iOS: Long-press the blue FAB (floating action button) in the bottom-right corner, then drag to "Extract" and release.
On Web: Click the "+" button and select "AI Extract", or use the keyboard shortcut Cmd+Shift+A (Mac) / Ctrl+Shift+A (Windows).

📝 Text Extract

Paste emails, meeting notes, or any text containing tasks. AI automatically identifies actionable items and extracts them with dates and times parsed.

Example input:
"Hi team, please remember to submit the report by Friday 5pm, schedule the client call for next Monday at 2pm, and review the budget spreadsheet."

AI extracts:
✓ Submit the report — Due: Friday 5:00 PM
✓ Schedule the client call — Due: Next Monday 2:00 PM
✓ Review the budget spreadsheet

📸 Image Extract

Take a photo or upload an image containing text — whiteboards, handwritten notes, screenshots, business cards, or receipts. AI uses OCR to read the text and extract tasks.

On iOS: Choose "Camera" to take a photo or "Photos" to pick from your library.
On Web: Upload an image file or paste from clipboard.

Perfect for: Meeting whiteboard photos, handwritten to-do lists, email screenshots, receipts for expense tasks.

🎙️ Voice Extract

Speak your tasks naturally and AI transcribes and extracts them. Great for capturing ideas on the go.

Recording methods:

  • Tap mode: Tap once to start recording, tap again to stop
  • Hold mode (iOS): Press and hold to record, release to stop

Duration: Up to 30 seconds per recording.
Preview: Listen to your recording before submitting.

Example: Say "Add buy groceries tomorrow, schedule dentist appointment for next Tuesday at 3pm, and call mom this weekend"
→ AI creates 3 separate tasks with appropriate due dates

📅 Plan My Day

Describe your day in natural language and AI creates a time-blocked schedule for you.

Example input:
"I wake up at 7am, exercise for 30 minutes, have a breakfast meeting at 9am, work on the proposal until lunch, afternoon calls from 2-4pm, then wrap up emails"

AI creates:

Smart List Matching

When you mention a list name in your input (e.g., "add to my grocery list"), AI automatically matches it to your existing lists. You can also manually select which list to add items to.

AI Usage Limits

AI Extract uses cloud processing with daily limits:

  • Free users: 20 extractions per day
  • Premium users: 200 extractions per day

Your remaining usage is shown as a badge (e.g., "23/50") in the Extract view.

Pro Tip: Premium users get enhanced voice recognition with audio sent directly to AI for better accuracy. Free users use on-device speech-to-text first.

Voice Features (iOS Only)

Ango Tasks on iOS offers multiple ways to add tasks using your voice — from quick mic buttons to dedicated widgets. Capture tasks hands-free while driving, cooking, or whenever inspiration strikes.

🎙️ Mic Button in Task View

When viewing any list, look for the microphone button near the FAB. This provides quick voice input for adding tasks to the current list.

Two recording modes:

  • Quick tap: Tap once to start recording, tap again to stop (icon changes to stop button)
  • Press and hold: Hold the button while speaking, release when done

While recording, you'll see an animated waveform and timer. AI processes your speech and shows extracted tasks for review before adding.

📱 Mic Button in Sidebar

The sidebar has a dedicated mic FAB positioned above the main plus button. Use this for quick voice capture without opening a specific list first.

Tasks added from the sidebar mic go to your default list, or you can select a destination from the results sheet.

🔊 Voice Recording Widget

Add the Voice Input widget to your home screen for instant access to voice recording without opening the app.

To add the widget:

  1. Long press on your home screen
  2. Tap the "+" button in the top corner
  3. Search for "Ango Tasks"
  4. Select the small "Voice Input" widget
  5. Tap "Add Widget"

The widget shows a microphone icon with "Voice Input" label. Tap it to open the app directly in voice recording mode.

🎧 Voice Notes on Tasks

Add voice memos to any task for additional context. Perfect for detailed instructions, meeting recordings, or quick thoughts.

To add a voice note:

  1. Open any task to view its details
  2. Scroll to the "Voice Notes" section and tap to expand
  3. Tap "Add Voice Note"
  4. Record your message (up to 5 minutes on iOS, 30 seconds on Web)
  5. Preview and save

Voice notes include waveform visualization and playback controls. Free users can add 1 voice note per task; Premium users can add up to 5.

Visual Feedback While Recording

During voice recording, Ango Tasks provides clear visual feedback:

  • Button changes from blue to red
  • Animated pulsing ring effect
  • Real-time waveform visualization
  • Timer showing elapsed time
  • Processing spinner when AI is analyzing

Managing Lists

Organize your tasks into separate lists for different projects, areas of life, or any categorization that works for you.

Creating a New List

On iOS: Long-press the blue FAB (floating action button) in the bottom-right corner. A menu expands showing options — drag to "New List" and release. Enter a name and optionally choose an emoji icon.

On Web: Click the "+" button in the sidebar footer, then select "New List". Enter a name, select an emoji, and optionally assign to a group.

Switching Lists

Tap any list in the sidebar to switch to it. The main view will update to show only tasks from that list.

Editing Lists

Long press on any list in the sidebar to edit its name or icon. You can also delete the list from this menu (tasks will be deleted too).

Moving Tasks Between Lists

Open any task, tap the list name at the top, and select a different list to move the task there.

List Icons

Choose from a variety of emoji icons to make your lists visually distinct. This makes it easier to quickly identify lists in the sidebar.

Smart Lists

Smart Lists automatically collect tasks from all your lists based on specific criteria. They help you focus on what matters most right now.

☀️ Today

Shows all tasks due today, from all your lists. This is your daily focus view - start each day here to see what needs to be done. Tasks are sorted by due time, making it easy to plan your day.

⭐ Priority

Collects all tasks marked as favorites (priority) across all lists. Perfect for seeing your most important work at a glance. Use this when you need to focus on high-impact tasks.

📅 Upcoming

Shows tasks with due dates in the near future (next 7 days). Plan ahead and prepare for what's coming. Great for weekly planning sessions.

⚠️ Overdue

Displays tasks that are past their due date but not yet completed. Clear these first to get back on track! The app badge also shows the count of overdue tasks.

Accessing Smart Lists

Smart Lists appear at the top of your sidebar, above your custom lists. Tap any Smart List to view its contents. Each task shows which list it belongs to, so you always know the context.

Pro Tip: Smart Lists show the source list for each task, so you always know where it belongs. Tap a task to jump to its original list.

Calendar View

The Calendar view gives you a visual overview of your tasks across time. See what's coming up and plan your schedule effectively.

Accessing Calendar

Tap the calendar icon in the sidebar or navigation to open the Calendar view. You'll see a monthly calendar by default.

View Modes

Switch between three view modes using the segmented control at the top:

  • Month: See the full month with task indicators on each day
  • Week: Focus on the current week with task counts per day
  • Day: Detailed view of a single day

Task Indicators

Days with tasks show colored dots:

  • Orange: Has incomplete tasks
  • Green: All tasks completed

Viewing Tasks

Tap any date to see tasks for that day in the panel below. You can complete tasks, view details, or add new tasks directly.

Adding Tasks from Calendar

Tap the "+ Add" button when viewing any date to create a new task with that date pre-selected. Choose the list and optionally set a time.

Navigation

Use the left/right arrows to navigate between months, weeks, or days. The "Today" button quickly returns you to the current date.

Stay on top of your tasks without opening the app. Ango Tasks widgets let you view and complete tasks right from your iPhone home screen.

Adding a Widget

Long press on your home screen → Tap the "+" button → Search for "Ango Tasks" → Choose your widget size → Tap "Add Widget"

Choose from three sizes:

  • Small: Shows up to 3 tasks at a glance
  • Medium: Shows up to 4 tasks with interactive checkboxes
  • Large: Shows up to 8 tasks with full details including due times

Long press the widget → Tap "Edit Widget" → Choose which list to display. Select "Today" or "Priority" to show Smart List content, or pick any of your custom lists.

Completing Tasks

On medium and large widgets, tap the circle next to any task to mark it complete - no need to open the app! The widget refreshes automatically.

Widgets show priority stars, due times with color coding (red for overdue, orange for today), and the total task count. Tap anywhere else on the widget to open the app.

Notifications & Reminders (iOS Only)

Never miss a deadline with smart notifications on iOS that keep you informed without being overwhelming.

Automatic Reminders

When you set a due date/time for a task, Ango Tasks automatically schedules two notifications:

  • 15 minutes before: "Upcoming Task - [task name] is due in 15 minutes"
  • At due time: "Task Due Now - [task name]"

Notification Actions

Long press (or swipe down) on a notification to see actions:

  • Mark Complete: Complete the task without opening the app
  • Snooze 15 min: Get reminded again in 15 minutes

App Badge

The Ango Tasks app icon shows a badge with the count of overdue tasks. When you complete or reschedule overdue tasks, the badge updates automatically. This gives you a quick visual reminder of tasks needing attention.

Notification Settings

You can manage notification settings in iOS Settings → Ango Tasks → Notifications. Enable or disable sounds, badges, and lock screen notifications.

Pro Tip: Notifications are only scheduled for tasks with specific times. Date-only tasks (without a time) won't trigger notifications.

Your tasks sync across both platforms as long as you use the same account email.

Automatic Sync

Changes sync automatically in real-time. Add a task on your iPhone, and it appears on the web app instantly. No manual sync needed.

  • View your signed-in email
  • Manage your subscription
  • Sign out

Data Security

Your data is stored on Firebase with enterprise-grade security. All data is encrypted both in transit and at rest. We never sell or share your personal information.
